So how do you pick the right payroll outsourcing company?
Here are a few suggestions:
1. Ask who will actually be running your payroll and if you will be allowed to speak to them directly if you need to explain anything. Some large payroll organisations have “offshored” the work themselves making it very difficult to build a relationship with the person actually running your payroll as they are several time zones away.
2. Is the payroll company that you are considering the right size for you? By this we mean – do they have sufficient experience and staff to run your outsourced payroll correctly each and every time whilst still providing a personal service. Too big and the personal service may actually be lip service. Too small and you need to consider what happens if sickness strikes them – who will run your payroll?
3. Will your payroll be going to a payroll company that listens to your specific requirements and tailors their payroll service to meet your needs? Make sure that they can give you what works for you. Can they work to your payroll timetable? Can they give you reports with the data that you need? A good payroll outsource provider should be able to flex to give you the best payroll solution for your needs. Small company payrolls are generally different to large company payrolls often with different reporting requirements and timescales.
4. Is the charging structure clear? Beware just looking at the quoted headline figure. Less scrupulous payroll companies will quote you a seemingly reasonable up front fee and then load you with hefty charges for all sorts of “extras” which are not really unusual at all such as reprinting a report that you may have mislaid or sending you a duplicate P60 when an employee has lost it.
